Call for Workshop Proposals

Workshop Proposal Submission Information

This only applies to NEW workshops NOT previously held at PAG. All others with returning workshops will be contacted.

You must submit your proposal online, via the link at right. (Proposal Submissions received via email will NOT be considered.)
A Workshop consists of 6 speakers (20 minutes per speaker) and runs for 2 hours and 10 minutes.
Each Workshop Organizer is responsible for inviting 6 speakers (at least four must be included in your proposal for it to be accepted)
Workshop Proposals submitted without speakers are considered incomplete and will be rejected.
(Note: Organizers will be able to change/edit speakers after submission)
All Workshop Proposals Submissions will be reviewed by members of the PAG Organizing Committee and considered based on factors such as relevance, and pre-existing coverage of the subject area proposed.
The deadline for Workshop Proposal Submissions is September 15, 2023.

Workshop Organizers whose proposals have been accepted will be notified by September 25, 2023.
Upon acceptance, the Workshop Organizer will receive information via email regarding the date, time, and room assignment of the approved workshop, along with details regarding financial support.
The Workshop Organizer is responsible for coordinating their invited speakers and will receive an email from the Confex system with details on how to upload speakers details into the online program database.
Workshop Organizers are strongly encouraged to upload speaker information as early as possible, as promotion of the Online Program will begin early October.
All Speaker information must be uploaded by November 17, 2023.
The Workshop Organizer will also ensure that all of their Workshop Speakers upload their individual abstracts to the online program database, in accordance with the deadlines posted below.

Each workshop, regardless of the number of Organizers, is entitled to the following financial support:

1 Complimentary Attendee Registration
1 Air Travel Reimbursement up to $300 USD
(If there are multiple organizers, the Primary Workshop Organizer determines how the financial support is to be distributed.)

Once the Workshop Organizer has posted a speaker to their Workshop via the online database, the Workshop Speakers will receive a detailed email with information and links including registration information, accommodations, and instructions for online abstract submission.
Workshop Speakers are expected to post their abstract to the online database by the following deadlines:
- Workshop Speaker Abstract Submission Deadline - December, 16, 2022
- Workshop Speaker Abstract Editing Deadline - December 31, 2022
All Workshop Speakers are required to pay the full registration rate —and will be guaranteed the lowest discounted rate available (based on their registration type), regardless of any early registration deadlines.

Workshop Organizers are responsible for managing all aspects of the Workshop on-site, including ensuring that all speakers have uploaded their presentations in the Speaker Ready Room (Terrace Salon 2) AT LEAST 24 HOURS PRIOR to the Workshop's scheduled time.
Workshop Organizers are expected to arrive 10 minutes prior to the start time and check that:
- all lights, microphones, projectors, etc. are working correctly
- all speakers have uploaded their presentations
- all presentations are accessible on the laptop
The Workshop Organizer is expected to:
- introduce speakers
- moderate the session
- keep all talks within their scheduled time
- ensure the Workshop concludes on tim
